Getting started

The first hour with Tendlytics.

How do I add templates from the starter library?
Open Library from your templates page. Pick your industry (or browse everything), check the templates you want, accept the review-before-activating note, and click Clone. Cloned templates land in your templates list as fully editable copies — change the steps, change the cadence, change anything. The library originals stay untouched.
How do I add a piece of equipment?
Click Assets → Add asset. Give it a name (required), pick a category, and optionally add a photo, location, model, and serial number. The QR code is generated automatically. Have a lot of assets? Use the CSV import instead.
How do I print QR labels for my equipment?
Go to QR sheet, pick a label format that matches the stock you own (Letter 6-up, Avery 5160, DYMO, Brother DK-1201, or the 2 3/4″ × 2 1/8″ prescription labels most vet clinics already have for IDPRT or DYMO LabelWriter), then click Print. Your choice is remembered for next time.
How do I run an SOP (checklist task)?
Open Today or Tasks, find the SOP, and tap Start. Tick each step as you complete it — every tick auto-saves, so you can walk away and come back on another device. Finish when done, or Report Issue if something needs flagging mid-run.
How do I invite a team member?
Owners and admins go to Team → Invite, enter the person’s email and pick a role (admin or staff). They get an email with a one-time link that expires in 7 days. You can cancel or resend pending invitations from the same page.
How does scanning a QR code work?
Point your phone camera at any QR label. The scan opens a quick log form where any tech — logged in or not — can record what was done. If you’re logged in to your tenant, you also see the asset’s full detail and recent history. Anonymous scanners see only the asset name and the log form (your clinic’s data stays private).

Your account

Password, profile, timezone, and plan.

How do I change my password?
Settings → Account. You’ll need to enter your current password to confirm.
How do I change the email on my account?
Settings → Account. We send a confirmation link to the NEW address; your email only changes after you click it. This protects you if someone gets temporary access to your session.
My tasks show up on the wrong day. How do I fix the timezone?
Owners can fix this in Settings → Clinic profile. Pick the timezone where your clinic actually operates. Today View and recurrence calculations both follow that setting.
I’m locked out — how do I reset my password?
On the login page, click “Forgot password.” We email you a reset link valid for 1 hour. If the email doesn’t arrive, check spam and verify the email on file is right.

Managing your team

Invitations, roles, removals.

How do I cancel a pending invitation?
On the Team page, find the pending invite row and click Cancel. The invite link stops working immediately.
The invite link expired. Can I send a new one?
Yes. On the Team page, click Resend next to the expired invite. We generate a fresh token, extend the expiration, and email the link again.
A team member left. How do I remove their account?
On the Team page, click Remove. Owners can remove anyone, admins can remove staff, staff can’t remove anyone. The last owner can’t be removed — every clinic needs at least one owner. Removing someone frees a seat under your plan limit.
What can each role do?
Owner: everything, including billing and clinic-level settings. Admin: manages assets, templates, team (no billing). Staff: scans QRs, logs maintenance, runs SOPs. Staff cannot edit assets, change templates, or manage team members.

Billing & plans

Subscriptions, cancellations, what happens to your data.

How do I upgrade or downgrade my plan?
Owners go to Billing and click Manage subscription. That opens the Stripe Customer Portal where you can switch between Starter and Pro, update your card, or cancel.
How do I cancel my subscription?
In Billing → Manage subscription. Cancellation takes effect at the end of your current billing period — you keep full access until then. We don’t prorate refunds for partial periods.
What happens to my data if I cancel?
Your account becomes read-only at the end of the billing period — you can still log in, view all your data, and export it. We keep your data for 30 days after that, then purge it. If you reactivate within 30 days everything comes back. After 30 days it’s gone for good.
What’s the founder pricing?
The first 16 customers to sign on get $20 off forever — Starter at $19/month or Pro at $59/month, on whatever plan you pick. The discount stays even if you upgrade from Starter to Pro later. The live counter on your billing page shows how many founders have already claimed a seat. If you cancel and resubscribe, the founder slot is forfeit.
My trial expired and I got locked out. What now?
Your data is safe — you just can’t add anything new until you convert. Click Billing from any page and pick a plan. Once you subscribe the lock lifts immediately.
Can I get a refund?
We don’t issue prorated refunds — subscriptions end at the close of the current billing period. If something on our side went wrong (you were billed despite a service outage, etc.), email support@tendlytics.app and we’ll make it right.

Data export & audit reports

Get your data out in formats inspectors and accountants understand.

What formats can I export my data in?
Owners can download from Settings → Data export. You get two formats: a polished PDF audit report (good for AAHA inspectors or state vet boards) and a ZIP of CSVs (assets, team, task templates, completion history). Friendly column names, no internal IDs.
How often should I export?
Up to you. Monthly is a reasonable cadence for compliance archives. The export captures everything in your account at the moment you run it — there’s no version control.
What’s in the PDF audit report?
Your clinic name, the date range covered, summary statistics, then a table of completions grouped by asset showing who did what and when. Designed to hand to an AAHA inspector or state vet board without explanation.

Troubleshooting

When something doesn’t behave the way you expect.

I scanned a QR code and got an error page.
A QR scan only works if the asset still exists in your account. If you’ve deleted or archived the asset, old QR labels on the equipment stop working. Print a fresh label from QR sheet and replace the old one.
The QR sheet PDF doesn’t fit my label printer.
Open QR sheet and pick a different format from the dropdown. We support Avery 5160 sheets, DYMO 30330/30332, Brother DK-1201, the 2 3/4″ × 2 1/8″ prescription labels used by most vet pharmacies, plus the standard Letter 6-up. Don’t see the labels you use? Email support and we’ll add the preset.
An email I expected didn’t arrive.
Check spam — our emails come from noreply@tendlytics.app, billing@tendlytics.app, or team@tendlytics.app depending on type. If it’s still missing after a few minutes, write to support@tendlytics.app with the email you signed up under and we’ll dig in.
My CSV import said some rows had errors.
The result page tells you exactly which row failed and why. Common causes: blank name column, name longer than 200 characters, or a row that hit your plan’s asset limit. Fix those rows in your CSV, re-upload, and the previously-successful rows aren’t re-imported (we don’t dedupe — so trim the rows you’ve already imported before re-uploading).
I can’t log in at all.
Five wrong passwords in 15 minutes triggers a temporary lockout that clears automatically. If you forgot your password, reset it from the login page. If your owner removed your account or your trial expired, your owner has the resolution path.
I can see my data but can’t add anything new.
You’re in read-only mode. Most common cause: trial expired without subscription, or payment failed and the 7-day grace period elapsed. The owner of your account can fix this in Billing.
